Executive Assistant to the Head of Office Athens, Greece Role Overview This is a founding-team role. You will work directly alongside the Head of the Representative Office, a senior executive relocating from Hong Kong, and will be the operational backbone of the office from day one. The role demands someone who is proactive, discreet, commercially aware, and capable of operating with significant autonomy in an environment that is still being built. This is not a traditional EA role. You will be involved in the substance of what the office does, not just the administration of it. Key Responsibilities Manage the Head of Office’s schedule, communications, and priorities across multiple time zones (Athens, Hong Kong, and regional partners). Prepare briefings, correspondence, and documentation for institutional meetings, chambers of commerce, government engagements, and industry events. Coordinate with legal counsel, external advisors, and subsidiary teams across the region to ensure follow-through on commitments. Monitor regulatory and compliance-related deadlines and ensure the Head of Office is informed and prepared. Act as a point of contact on behalf of the Head of Office with internal and external stakeholders when appropriate. Support the setup and ongoing operations of a new office. Key Requirements Minimum 3–5 years of experience as an Executive Assistant, or in a similarly demanding operational support role. Fluent in Greek and English; additional languages. Comfortable working with senior contacts and able to represent the company with confidence. Highly organised, with an ability to manage multiple priorities simultaneously without losing precision. Discreet, trustworthy, and professional – you will have access to sensitive business and organisational information. Not afraid to take initiative, push back when needed, and find solutions independently. Prior exposure to international business, legal or compliance environments, maritime, trade, or government affairs is a plus.
